Link sharing

You can share files and folders saved in Drive as links instead of sending them as attachments via email or message. You can easily forward URLs and enhance security with settings for the expiration period, access, and editing permission. You can make use of this function when sharing large files.

Folders and Files that are being shared via links are marked with  next to their names.

Link sharing options

Permission to access

You can select one of the following access permissions to ensure security when sharing a link. Depending on the administrator’s setting, some access permissions may not be available.

  • Everyone who know the link can access
  • Only company employees can access
  • Only those who verified with password can access
  • Only those who verified with OTP can access

Regardless of the access permission settings, you may not be able to access a link for the following reasons:

  • If the person who shared the link has deleted the link
  • If the link was deleted after the expiration date
  • If you are not permitted to access the link as the access permission for the link has been changed
  • (Secure links) If you are excluded from the shared members
  • (Secure links) If you are accessing from a browser other than the first verified browser

Expiration period

You can select an expiration period from no limit, 7 days, 30 days, 90 days, or 180 days.

Permission to edit

By default, all links are ‘Editable’ when they are first created. The people in which the link was shared can edit the files or upload new files in a folder with links. However, editing is only available on the PC web.

You can also change the link permission setting to View only (permission to read only).

Create shared links for all and company employees

Mobile

  1. Tap  of the file or folder you want to share.
  2. Tap ‘Share’.
  3. Tap ‘Share link’.
  4. Select the access authority, expiration period, and permission to edit for the created link.

PC Web

  1. Click  on the top.
  2. Hover the mouse over a file or folder.
  3. Click  to open the ‘Select link’ window.
  4. Select ‘Share link’, and click ‘Share link’ on the bottom.
  5. Check the newly created link, and click ‘Change setting’ to open the ‘Change link setting’.
  6. For the ‘Access authority’, you can select from ‘Can be accessed by all people who received the link’ or ‘Can only be accessed by company employees’.
  7. Click ‘OK’.

Drive Explorer

  1. Right-click the file you want to share.
  2. Click ‘LINE WORKS Drive > Share link’.
  3. Check the newly created link, and click ‘Change setting’.
  4. On the ‘Change link setting’, click ‘Change setting’.
  5. For the ‘Access authority’, you can select from ‘Can be accessed by all people who received the link’ or ‘Can only be accessed by company employees’.
  6. Click ‘OK’.

You can copy and paste the link to share via email or message.

Share a link with a password

Mobile

  1. Tap  of the file or folder to share.
  2. Tap ‘Share’.
  3. Tap ‘Share link’.
  4. Select ‘Access with password’ for the access authority.
  5. Enter 4 to 16 characters using English alphabets, numbers, and special characters for the password.
  6. Select the expiration period and permission to edit and then tap ‘Confirm’ for the newly created link.

PC Web

  1. Click  on the top.
  2. Hover the mouse over a file or folder.
  3. Click  to open the ‘Select link’ window.
  4. Select ‘Share link’, and click ‘Share link’ on the bottom.
  5. Check the newly created link, and click ‘Change setting’ to open the ‘Change link setting’.
  6. Select ‘Can only be accessed by those who know the password’ for the ‘Access authority’.
  7. Enter 4 to 16 characters using English alphabets, numbers, and special characters for the password.
  8. Click ‘OK’.

Drive Explorer

  1. Right-click the file you want to share.
  2. Click ‘LINE WORKS Drive > Share link’.
  3. Check the newly created link, and click ‘Change setting’.
  4. On the ‘Change link setting’, click ‘Change setting’.
  5. Select ‘Can only be accessed by those who know the password’ for the ‘Access authority’.
  6. Enter 4 to 16 characters using English alphabets, numbers, and special characters for the password.
  7. Click ‘OK’.

Share a link with OTP (One-time password)

You can create a shared link that can only be accessed after entering the OTP verification numbers. Users who received a shared link can access the link after verifying with OTP via email. Use this function to share the link safely with those who are not from the same company.

Mobile

  1. Tap  of the file or folder to share.
  2. Tap ‘Share’.
  3. Tap ‘Share link’.
  4. Select ‘Access with OTP’ for the access authority.
  5. Tap  and enter the email addresses of the members to share the link with.
    To ‘Enhance security’, select ‘Use’ if you want to allow access only from the first verified browser.
  6. Tap ‘Confirm’ to share the folder link.
    An email will be sent to the selected users.
    When the members tap ‘Open file’ in the email, a verification link window will appear as below. The OTP verification number will be sent to the email addresses that users enter. If a member enters an address that has not been designated as a link user, the following message will appear: “It is unable to access this email.” The members can copy the OTP code sent to their email addresses to the clipboard and tap ‘Open file’ again to enter the OTP code. Once the verification is complete, the members can access the file.Please note that the OTP code must be entered within 5 minutes.

PC Web

  1. Click  on the top.
  2. Hover the mouse over a file or folder.
  3. Click  to open the ‘Select link’ window.
  4. Select ‘Share secured link’.
  5. Click ‘Share link’ on the bottom to open the ‘Share secured link’ window.
  6. Select the ‘Access authority’. Check the checkbox if you want to allow access only from the first verified browser.
  7. Select the ‘User Authority’.
  8. For the ‘Designate a person who can access the link’, enter the email addresses of the members you want to share the link with and press the Enter key.
  9. Click ‘OK’.

Copy and send a link

If you have selected ‘Access with OTP’, you cannot copy the link.

Mobile

  1. Tap  next to the folder or file you want to send.
  2. Tap ‘Share’.
  3. Tap ‘Manage link’.
  4. Tap ‘Copy link’ or select a medium to share the link such as email or message.

PC Web

  1. Click  on the top.
  2. Hover the mouse over a file or folder.
  3. Click  to open the ‘Manage links’ window.
  4. Click ‘Copy link’ to attach the link to a message, or enter the email addresses below ‘Send this link via email’. Press the Enter key afterward.
  5. Click ‘Send’.

Drive Explorer

  1. Right-click the file to share.
  2. Click ‘LINE WORKS Drive > Copy link’ or ‘Send via email’.

Unshare a link

You can unshare a link if you no longer want to share the link.

Mobile

  1. Tap  next to the folder or file you have shared as a link.
  2. Tap ‘Share’.
  3. Tap ‘Manage link’.
  4. Tap ‘Delete link’ to unshare the link.

PC Web

  1. Click  on the top.
  2. Hover the mouse over a file or folder.
  3. Click  to open the ‘Manage links’ window.
  4. Click ‘Delete link’.
  5. Click ‘OK’.

Drive Explorer

  1. Right-click a shared file.
  2. Click ‘LINE WORKS Drive > Manage links’.
  3. Click ‘x Delete’.
  4. Click ‘Delete’.

Change link sharing options

You can select the access authority, expiration period, and permission to edit for the shared link.

Mobile

  1. Tap  next to the folder or file of the shared link.
  2. Tap ‘Share’.
  3. Tap ‘Manage link’.
  4. Make changes in access authority, expiration period, or permission to edit.

PC Web

  1. Click  on the top.
  2. Hover the mouse over a file or folder.
  3. Click  to open the ‘Manage links’ window.
  4. Click ‘Change setting’.

Drive Explorer

  1. Right-click a shared file.
  2. Click ‘LINE WORKS Drive > Manage links’.
  3. Click ‘Change setting’.

Check link sharing history

You can check the activity log of members for the shared link below.
You can check the history of activities before the link expires.
Once you delete a link, the sharing history for the link will also be deleted.

  • Accessed the link
  • Previewed
  • Renamed
  • Downloaded
  • Uploaded
  • Overwrote
  • Created a new folder
  • Deleted

  1. Tap  next to the folder or file of the shared link.
  2. Tap ‘Share’.
  3. Tap ‘Manage link’.
  4. Tap ‘Link History’.

PC Web

  1. Click  on the top.
  2. Hover the mouse over the file or folder of the shared link.
  3. Click .
  4. Click ‘Link history’.

Drive Explorer

  1. Right-click a shared file.
  2. Click ‘LINE WORKS Drive > Link history’.
