Filter emails

This function is only available for the Advanced plan.

Filter is a function that automatically categorizes received emails according to the selected criteria or actions.

You can use this function to filter emails, highlight emails, or move emails to designated mailboxes.

The filter function is available in Mail on PC web.

If the email automatic forwarding is set, emails will be automatically forwarded after auto-filtering.

Add filter criteria

You can add up to 1000 filter criteria.

PC Web

  1. Click  on the top.
  2. Click  on the top right in Mail.
  3. Click 'Settings'.
  4. Click 'Manage/filter mail > Filter'.
  5. Click 'Add Filter'.
  6. In 'Select Criteria', select the conditions for automatic email classification.
    • Email
      address: Automatically classifies emails with the entered email address, domain, or name that match the following conditions.
      If two or more conditions are selected, only cases that meet all conditions are automatically classified.
      You can add up to 10 email addresses, domains, and names within one condition.

      • Sender
      • Recipient
      • Cc
      • Recipient OR Cc
    • Mail Subject: Automatically classifies emails with entered text in the title.
    • Contents: Automatically classifies emails with entered text in the email body.
    • Additional conditions
      • Attached mail: Automatically classifies emails with attachments.
      • Reply to mail created by myself: Automatically classifies replies to email written by me.
      • Calendar appointment mail: Automatically classifies Calendar-related emails (appointment invitation, change, cancellation).
  7. Click 'Select Actions' and select actions to apply on emails that meet the above conditions.
    • Move to mailbox : Move email to a specific mailbox. You can specify which mailboxes to move emails.
    • Delete(Move to trash) : Move the email to the Trash.
    • Forward to entered mail address : Forward email to a specific email address. If you have entered an external email address, click 'Send verification number' and then enter the verification code sent to the email address.
    • Mark as read : Mark email as read.
    • Mark important : Mark email as important().
    • Mark with color : Change the background color of emails in the email list.
  8. Turn on or off 'Apply to existing mails?'. If you turn on the setting, you can automatically classify all emails you have received in the past.
    However, the actions will not be applied to existing emails when 'Reply to mail created by myself' or 'Forward to entered mail address' is selected as actions.
  9. Click 'Save'.

Change the priority of filter criteria

All saved filter criteria are displayed in the filter list.
You can change the priority by moving the criteria up and down. The criteria positioned on the top is most prioritized.

PC Web

  1. Click  on the top.
  2. Click  on the top right in Mail.
  3. Click 'Settings'.
  4. Click 'Manage/filter mail > Filter'.
  5. Drag each item in the list to change the order.

Search filter criteria

You can enter keywords to search for filter criteria.

PC Web

  1. Click  on the top.
  2. Click  on the top right in Mail.
  3. Click 'Settings'.
  4. Click 'Manage/filter mail > Filter'.
  5. Click  on the top right of the list.
  6. Enter the filter criteria or actions in the search box. Then press Enter on your keyboard.

Filter conditions

You can search for filter criteria that correspond to the selected filter condition.

PC Web

  1. Click  on the top.
  2. Click  on the top right in Mail.
  3. Click 'Settings'.
  4. Click 'Manage/filter mail > Filter'.
  5. Click 'Sorting criteria' to select a filter condition on the top left of the list.

Edit filter criteria

You can edit filter criteria.

PC Web

  1. Click  on the top.
  2. Click  on the top right in Mail.
  3. Click 'Settings'.
  4. Click 'Manage/filter mail > Filter'.
  5. Click 'Modify' on the right side of the criteria you want to edit in the filter list.
  6. Edit the criteria in the 'Edit category'.
  7. Click 'Save'.

Delete filter criteria

You can delete filter criteria.

PC Web

  1. Click  on the top.
  2. Click  on the top right in Mail.
  3. Click 'Settings'.
  4. Click 'Manage/filter mail > Filter'.
  5. In the criteria list, click 'Delete' on the right side of the criteria you want to delete or  on the left and then 'Delete'.
  6. Click 'Delete'.
