External message settings

This function is only available for the Standard and Advanced plans.

However, you can use the connected-members(LINE users, LINE WORKS users from other companies) management function regardless of the plan in use.

You can allow members to exchange messages with external contacts(LINE users, LINE WORKS users from other companies) by changing the settings.

Chat with LINE users

Set the use status to allow company members to exchange messages with LINE users through LINE WORKS.

For members to exchange messages with external LINE users, permission must be granted by the administrator and LINE users must add permitted members as friends.

Use status setting

This function is only available for the Standard and Advanced plans.

Set whether to allow company members to exchange messages with LINE users.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus. 
  2. Press 'Chat with External Users'.
  3. Press right to the 'Connect' of the 'Chat with LINE user'.
  4. After changing the settings, press 'Save' to apply changes.
    If set to 'Allow', only members permitted by the administrator can exchange messages with LINE users in the LINE WORKS Message. Permissions for members are set in the 'Permissions' section at the bottom.

When you change 'Allow' to 'Do not allow', the existing message room with LINE users will be deleted from your company members' message room list. The members will be displayed as an 'unknown' to LINE users. In the Admin Audit, you can search and view the conversation history between LINE users.

Permissions

Set the member's permission to chat with LINE users.

Permission settings

Set whether to grant permission to chat with LINE users to all members or only to specific members.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus. 
  2. Press 'Chat with External Users'.
  3. 'On the right of the 'Permissions' field after pressing , select 'Grant to all members' or 'Grant by member'. The following are the detailed explanations for each setting.
    Setting Description
    Grant to all members All members are automatically granted with permission to chat with LINE users without the administrator having to manage permissions separately.
    Grant by member Grants permission to chat with LINE users only to certain members designated by the administrator.

    If you want to automatically give new members permission to chat with LINE users, turn on the 'Automatically grant link authority to new members' setting.

  4. After changing the settings, click 'Save' at the top to save the settings.

Add connected-members

If you set the 'Permissions' setting to 'Grant by member', you can grant each member with permission to chat with LINE users.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus. Admin
  2. Press 'Chat with External Users'.
  3. Press 'Manage' in the 'Permissions' field to access the 'Manage External Message Users' page.
  4. Press the 'LINE' tab on the connected-members management page.
  5. Press 'Add' to select a member to allow connection to LINE users and then press 'OK' at the bottom to add as the connected-member.

Delete connected-members

If you set the 'Permissions' setting to 'Grant by member', you can delete the permission to chat with LINE users for each member.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus. 
  2. Press 'Chat with External Users'.
  3. Press 'Manage' in the 'Permissions' field to access the 'Manage External Message Users' page.
  4. Press the 'LINE' tab on the connected-members management page.
  5. Select the connected-member to delete and press 'Delete'.

Send automatic greeting messages

This function is only available for the Standard and Advanced plans.

Change the setting to send an automatic greeting message to LINE users who added LINE WORKS users as friends. You can edit sales information or greeting messages yourself.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus.
  2. Press 'Chat with External Users'.
  3. Press  right to the 'Send greeting messages automatically' and then select whether to use the function.
  4. After changing the settings, press 'Save' at the top to apply changes.
    If you want to edit the greeting message, click the 'Edit' button at the bottom of the greeting message section to open the 'Edit greeting message' page. After editing, press 'Save' to apply changes.

Automatically give new members the authority to connect with LINE users

This function is only available for the Standard and Advanced plans.

Change the settings to automatically give new members the authority to connect with LINE users.

However, this setting can be set only when the 'Permissions' of 'Chat with LINE user' is set to 'Grant by member'.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus.
  2. Press 'Chat with External Users'.
  3. Press right to the 'Permissions' and then select whether to use the function.
  4. When set to ON, new members automatically have the authority to connect with LINE users. When set to OFF, the authority to connect with LINE users is not available to new members automatically.
  5. After changing the settings,  press 'Save' to apply changes.

Restrict file transfer · attachment

This function is only available for the Standard and Advanced plans.

When using the LINE connection, choose whether to allow members to share files in the message room with LINE users.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus. 
  2. Press 'Chat with External Users'.
  3. Press right to the 'File transfer/attachment' and then select whether to use the function.
  4. If 'ON', function buttons for Camera, Contacts, and Drive (Folder) that appear when you press becomes unavailable in the message rooms with LINE users. The functions deactivate and members cannot take pictures or send files in the Drive.
  5. Press 'Save' at the top to apply changes.

Chat with LINE WORKS users from other companies

Change settings to allow company members to exchange messages with LINE WORKS users outside of the company.

For a member to exchange messages with a LINE WORKS user of another company, the administrator must grant permission, and the authorized member must add the LINE WORKS user of the other company.

Use status setting

This function is only available for the Standard and Advanced plans.

Set whether to allow internal members to exchange messages with LINE WORKS users of other companies.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus. 
  2. Press 'Chat with External Users.
  3. Press to the right of the 'Connect' of the 'Chat with LINE WORKS users from other companies'.
  4. After changing the settings, select 'Save' to apply changes.
    If set to 'Allow', only members permitted by the administrator can exchange messages with LINE WORKS users from other companies in the LINE WORKS Message. Permissions for members are set in the 'Permissions' section at the bottom.

When you change 'Allow' to 'Do not allow', the existing message room with LINE WORKS users from other companies will be deleted from the participants of your company's message room list. The member will be displayed as an "unknown" user to LINE WORKS users from other companies. In the Admin Audit, you can search and view the conversation history between LINE WORKS users from other companies and your company members.

  3. After pressing on the right of the ‘Permissions’ field, select 'Grant to all members' or 'Grant by member'. The following are the detailed explanations for each setting.
    Setting Description
    Grant to all members All members are automatically granted with permission to chat with LINE WORKS users from outside without the administrator having to manage permissions separately.
    Grant by member Only members designated by the administrator are granted permission to communicate with LINE WORKS users from other companies.

    Turn on the 'Automatically grant link authority to new members' setting to automatically grant new members permission to communicate with LINE WORKS users of other companies.

  4. After changing the settings, click 'Save' at the top to save the settings.

Add connected-members

If you set the 'Permissions' setting to 'Grant to all members', you can grant each member permission to communicate with LINE WORKS users from other companies.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus. 
  2. Press 'Chat with External Users'.
  3. Press 'Manage' on the 'Permissions' field to access the page.
  4. Press the 'LINE WORKS' tab on the connected-members management page.
  5. Press 'Add' to select a member to allow connection to LINE WORKS users from other companies and then press 'OK' at the bottom to add as the connected-member.

Delete connected-members

If you set the 'Permissions' setting to 'Grant by member', you can delete the permission to communicate with LINE WORKS users of other companies for each member.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus. 
  2. Press 'Chat with External Users'.
  3. Press 'Manage' on the 'Permissions' field to access the page.
  4. Press the 'LINE WORKS' tab on the connected-members management page. Select the connected-member to delete and press 'Delete'.

Automatically give new members the authority to connect with LINE WORKS users from other companies

This function is only available for the Standard and Advanced plans.

Change the settings to automatically give new members the authority to connect with LINE WORKS users from other companies.

However, this setting can be set only when the 'Permissions' of 'Chat with LINE WORKS users from other companies ' is set to 'Grant by member'.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus.
  2. Press 'Chat with External Users'.
  3. Press right to the 'Permissions' and then select whether to use the function. When set to ON, new members automatically have the authority to connect with LINE WORKS users from other companies. When set to OFF, the authority to connect with LINE WORKS users from other companies is not available to new members automatically.
  4. After changing the settings,  press 'Save' to apply changes.

Restrict file transfer · attachment

This function is only available for the Standard and Advanced plans.

When using the external LINE WORKS connection, choose whether to allow members to share files in the message room with LINE users as participants.

  1. Select 'Service' from the left to expand the menu and press 'Message' to access the page. On mobile, tap the button to access the menus. 
  2. Press 'Chat with External Users'.
  3. Press  right to the 'Restrict file transfer/attachment' and then select whether to use the function.
    Select 'OFF' to allow members to upload files in the message room with LINE WORKS users from other companies and 'ON' for the opposite. If you select' ON', the following restrictions apply.

    • Message rooms with LINE WORKS users from other companies: Function buttons for Camera, Contacts, and Drive (Folder), Template that appear when you press becomes unavailable in the message rooms with LINE WORKS users from other companies. The functions deactivate and members cannot take pictures, send files in the Drive (Folder), or create and send templates.
    • External group: Files cannot be attached in external group notes, events, and folders. Also, you cannot attach a template to a note or set a template on boards.
  4. Press 'Save' at the top to apply changes.
