CONTENTS

This function is only available for the Advanced plan.
For the Standard plan, you can apply for and use the Drive option.

Create a policy targeting the actions of members who use Drive, and monitor to detect cases that meet the conditions of that policy. If a member's action corresponds to more than one Drive monitoring policy, it will be filtered with all corresponding policies.

You can add up to 500 policies.

Manage policy on Drive

Mobile

View and manage the status of monitoring policies related to Drive.

  1. Tap 'Monitoring' from the Admin menu.
  2. From the menu on the left, tap 'Drive' and then 'Manage Policies' to access the page.
    • Number: The serial number of the policy. Saving a policy automatically creates the policy number.
    • Policy Title: The title of the policy.
    • Filtered: The number of files filtered by this policy. Up to 100,000 are displayed.
    • Use status: Displays whether the policy is in use.

PC Web

Manage policies on Drive by creating, deleting, and using monitoring policies (rules).

  1. Click 'Monitoring' from the Admin menu.
  2. From the menu on the left, click 'Drive' and then 'Manage Policies' to access the page.
    • Number: The serial number of the policy. Saving a policy automatically creates the policy number.
    • Date: The date and time the policy was created.
    • Policy Title: The title of the policy.
    • Target: Displayed as all members or the name of the members selected as the target for the given policy.
    • Task: Display one of the following tasks: Download, Share link, and Upload.
    • Criteria: Displays set file size, number, name, and extensions.
    • Registered By: The name and email address of the member who created the policy.
    • Filtered: The number of files filtered by this policy. Click to check the filtering details such as the information of the filtered file. Up to 100,000 are displayed.
    • Applied period: The period in which the policy will be applied. Monitoring will take place during that period. 
    • Use status: The usage status of the policy. If you do not want to use it, edit the applied period, or delete the policy.

Create Drive upload policy

Create a policy for uploading to Drive or saving attachments to Drive.

PC Web

You must enter the title of the policy, criteria for the conditions, and the application period.

  1. Click 'Add policy' at the top of the 'Manage Policies' page to access the Add policy page. Then select 'Upload'.
    • Policy title (required): Enter the title of the policy on Drive.
    • Set conditions: Companies to apply policy conditions. You can select multiple conditions at the same time. All of the selected conditions must be true to be monitored. (Operates with AND condition.)
      • Criteria (required)
        • Filter contents: The criteria to filter by contents. Select one among 'File name + contents', 'File name', 'Contents', 'Extension'; you can add one phrase per policy.
      • Appoint members: Policies can only be created when specific members have performed tasks that meet the criteria. Select 'Settings' of the Appoint members field and enter the name of member or an organization to add.
    • Set application period (required): Set the period to apply the policy.
    • Notification settings: If on, notification is sent when the set conditions are satisfied. If you turn this off, you can still monitor the cases that satisfy the conditions of the policy via the monitoring page.
      • Notifications to users: When a situation corresponding to the set condition occurs, a warning notification is automatically sent to the member who caused it. When you enter what you want to deliver to the member, the notification will include that content.
        • Content to be sent: Enter the content to deliver to the member.
        • Notification method: Choose how to receive notifications. You can select one or more between Mail and Message.
      • Notifications to administrators: Notifications are sent to the administrator when a situation that meets the set conditions occurs.
        • Notification recipient: Press 'Add address' to select members to receive notifications. You can select up to 5.
        • Notification method: Choose how to receive notifications. You can select one or more between Mail and Message.
  2. At the top right, click 'Save' to save the information to the list.

Create Drive download policy

Create policies for downloading from Drive or sending files to Android apps.

PC Web

You must enter the title of the policy, criteria for the conditions, and the application period.

  1. Click 'Add policy' at the top of the 'Manage Policies' page to access the Add policy page. Then press 'Download' on the top to redirect.
    • Policy title (required): Enter the title of the policy on Drive.
    • Set conditions: An item of conditions under which the policy will be applied. You can select multiple conditions at the same time. All of the selected conditions must be true to be monitored. (Operates with AND condition.) 
      • Criteria (required): You can select one of the options below. If you select 'File size' or 'No. of Files', the download history for 1 day is collected and monitored. When the monitoring conditions are met, the monitoring screen informs you immediately.
        • File size: When the daily download file size exceeds the set value, it is monitored according to the condition of the policy.
        • No. of Files: When the daily number of downloads exceeds the set value, it is monitored according to the conditions of the policy.
        • Filter contents: The criteria to filter by contents. Select one among 'File name + contents', 'File name', 'Contents', 'Extension'; you can add one phrase per policy. If special characters are included, monitoring filter results may be inaccurate. 
      • Appoint members: Policies can only be created when specific members have performed tasks that meet the criteria. Select 'Settings' of the Appoint members field and enter the name of member or an organization to add.
    • Set application period (required): Set the period to apply the policy.
    • Notification settings: If on, notification is sent when the set conditions are satisfied. If you turn this off, you can still monitor the cases that satisfy the conditions of the policy via the monitoring page.

Create Drive link sharing policy

Create a policy for creating shared links in Drive.

PC Web

You must enter the title of the policy, criteria for the conditions, and the application period.

  1. Click 'Add policy' at the top of the 'Manage Policies' page to access the Add policy page. Then press 'Share link' on the top to redirect.
    • Policy title (required): Enter the title of the policy on Drive.
    • Set conditions: Companies to apply policy conditions. It is monitored based on the time the link was created. For content filtering, monitoring is only available when the file link is shared.
      • Criteria (required): You can select one of the options below. If you select 'File size', the download history for 1 day is collected and monitored. When the monitoring conditions are met, the monitoring screen informs you immediately.
        • File size: When the size of the file or folder that is created as a link exceeds the set value, it is monitored according to the condition of the policy.
        • Filter contents: The criteria to filter by contents. Select one among 'File name + contents', 'File name', 'Contents', and 'Extension'. Then enter a phrase to filter; you can add one phrase per policy.
      • Appoint members: Policies can only be created when specific members have performed tasks that meet the criteria. Select 'Settings' of the Appoint members field and enter the name of member or an organization to add.
    • Set application period (required): Set the period to apply the policy.
    • Notification settings: If on, notification is sent when the set conditions are satisfied. If you turn this off, you can still monitor the cases that satisfy the conditions of the policy via the monitoring page.

  2. At the top right, click 'Save' to save the information to the list.

Edit policy on Drive

Edit the saved policies on Drive.

PC Web

  1. On the 'Manage Policies' page, click the 'Policy title' of the policy you want to edit from the list and then access the 'Modify policy' page to make changes.
  2. At the top right, click 'Save' to edit the policy on messages.

Delete policy on Drive

Delete the saved policies on Drive.

PC Web

  1. On the 'Manage Policies' page, check the checkbox of the policy you want to delete.
  2. Click 'Delete' on the top to delete the selected policy.

Search policy on Drive

Search the saved policies on Drive.

You can search by Monitoring items, Rule title, Registered by, and Status.

Mobile

  1. On the 'Manage Policies' page, tap the search icon, and expand the search menu.
  2. Enter the search information and tap 'Search.

PC Web

  1. Select the option from the search item of the 'Manage Policies' page.
  2. Enter the search information and click 'Search'.

Monitoring Drive

You can monitor the detected content of the policy in use.

  1. Select 'Monitoring' from the left to expand the menu and press 'Drive' to access the page. On mobile, tap the button to access the menus. 
  2. Press 'Monitoring' on the top.

Mobile

  • Date: The date and time the policy was added.
  • Policy Number: The serial number of the policy that was monitored. Press to view the details of the policy.
  • User: The name and email address of the member who performed the task corresponding to the policy.
  • File/Folder name: The name of the file or folder that was uploaded, downloaded, or shared as a link.

PC Web

  • Date: The date and time the policy was added.
  • Policy Number: The serial number of the policy that was monitored. Click to view the details of the policy.
  • Task: Displayed as one of Upload, Download, and Share link.
  • Criteria: The set criteria of the policy are displayed.
    • When content filtering is the criterion for the condition: Filtered phrase
    • When the file size is the criterion of the condition: the selected file size
    • When the number of files is the criterion for the condition: The number of files selected
  • User: The name and email address of the member who performed the task corresponding to the policy
  • File/Folder name: The name of the file or folder that was uploaded, downloaded, or shared as a link. Click to check the detailed information of the file/folder.
    • Detailed information for upload: Date, File name, File size, File location, View original file
    • Detailed information for download: Date, File name, File size, File location, View original file
    • View link details: Link, Link creator, Link valid period, Name, Type, Size, Path, Upload date, Modification date, Link access info
  • File size: The name of the file or folder that was uploaded, downloaded, or shared as a link.
  • File location: The path to the folder in which the file is located.

Search monitoring history of Drive

Mobile

  1. On the 'Monitoring' page, tap the search icon and expand the search menu.
  2. Enter the search information and tap 'Search'.

PC Web

You can search by setting a period or entering details. Also, you can apply multiple conditions per search.

  1. On the 'Monitoring' page, select the 'Period' to search. Click 'Advanced' to apply multiple conditions at once for a search. The following search conditions are available.
    • Monitoring items: Select one among Upload, Download, and Share link.
    • User: Enter the name and email address of the member who performed the task that corresponds to the policy. The auto-complete function is available.
    • File name
    • Policy Number
  2. Click 'Search' to view the search results.

Send Drive monitoring report

Automatically send the monitored content to specific email addresses.

  1. From the 'Monitoring' page, press the 'Report Settings' at the top right.
  2. Select how often to send the report and press 'Add address' to select the email addresses to receive it. You can choose between Everyday and Weekly for the reporting cycle.
  3. Press 'Save' on the bottom.

Download log

You can download the monitored content as a file.

At the top right, press 'Download' from the 'Monitoring' page. The log contains the date, rule number, task, criteria, user, file/folder name file size, and location.
