Send a link

This function is only available for the Advanced plan.
For the Standard plan, you can use this function by applying for and using the Drive option.

You can share files and folders saved in Drive as links instead of sending them as attachments via email or message. 

You can enhance security with settings for the expiration period, access, and editing permission.

Link sharing is recommended for sharing large files as it does not use additional shared storage capacity.


Folders
and files that are being shared via links are marked with  next to their names.
Link sharing is not available for External Group Folders.

Send a link

You can share files or folders in Drive as links.

You can share folder and file links after setting access permissions to allow only specific people can access.

The following are the functions the person accessing the link can use based on the permission given.

Permission to edit Permission to read
File links Download, preview, delete, overwrite files with the same name Download and preview files
Folder links Upload, download, preview, copy, move, delete files and folders

However, uploading, copying, and moving folders can only be done on PC Web.

Mobile

  1. Tap  of the file or folder to share.
  2. Tap 'Send'.
  3. Tap 'Send as link'.
  4. Tap 'Send link' on the bottom of the screen. If needed, you can also change the link sharing settings.
  5. Select a target to send the link. Tap 'More' to select other message rooms.
    To select a contact, tap 'Contacts'. You can also select Mail or Note to attach the file or folder link on the spot.
  6. Tap 'Confirm' to send the link.

PC Web

  1. Click  on the top.
  2. Hover your mouse over the file or folder to send as a link.
  3. Click .
  4. Select 'Send as link' and then click 'Share link' on the bottom.
  5. Click 'Copy link' to share the link as you want. You can change link sharing settings by clicking 'Change settings'.

Create shared links for all and company employees

Mobile

  1. Tap  of the file or folder you want to share.
  2. Tap 'Send'.
  3. Tap 'Send as link'.
  4. Tap 'Access Permission'.
  5. Tap 'Access by anyone' or 'Access by employees'.
  6. Tap 'Send link' on the bottom of the screen.
  7. Select a target to send the link. Tap 'More' to select other message rooms.
    To select a contact, tap 'Contacts'. You can also select Mail or Note to attach the file or folder link on the spot.
  8. Tap 'Confirm' to send the link.

PC Web

  1. Click  on the top.
  2. Hover the mouse over a file or folder.
  3. Click .
  4. Select 'Share link', and click 'Share link' on the bottom.
  5. Check the newly created link, and click 'Change setting'.
  6. For the 'Access authority', you can select from 'Can be accessed by all people who received the link' or 'Can only be accessed by company employees'.
  7. Click 'OK'.
  8. Click 'Copy link' to share the link as you want.

Drive Explorer

  1. Right-click the file you want to share.
  2. Click 'LINE WORKS Drive > Share link'.
  3. Check the newly created link, and click 'Change setting'.
  4. Click 'Change setting' on the bottom.
  5. For the 'Access authority', you can select from 'Can be accessed by all people who received the link' or 'Can only be accessed by company employees'.
  6. Click 'OK'.
  7. Click 'Copy link' to share the link as you want.

You can copy and paste the link to share via email or message.

Share a link with a password

Mobile

  1. Tap  of the file or folder to share.
  2. Tap 'Send'.
  3. Tap 'Send as link'.
  4. Tap 'Access Permission'.
  5. Select 'Access with password'.
  6. Enter 4 to 16 characters using English alphabets, numbers, and special characters for the password.
  7. Tap 'Send link' on the bottom.
  8. Select a target to send the link. Tap 'More' to select other message rooms.
    To select a contact, tap 'Contacts'. You can also select Mail or Note to attach the file link on the spot.
  9. Tap 'Confirm' to send the link.

PC Web

  1. Click  on the top.

The generated link can be shared by pasting it into an email or message.

Share a link with OTP (One-time password)

You can create a shared link that can only be accessed after entering the OTP verification numbers. 

Users who received a shared link can access the link after verifying with OTP via email. 

Use this function to share the link safely with those who are not from the same company.

Mobile

  1. Tap  of the file or folder to share.
  2. Tap 'Send'.
  3. Tap 'Send as link'.
  4. Tap 'Access Permission'.
  5. Tap 'Access with OTP' and then 'Yes'.
  6. Tap  and enter the email addresses of the members to share the link with. Then, tap at the top right.
    To 'Enhance security', tap 'Use' if you want to allow access only from the initially authorized browser.
  7. Tap 'Confirm' to send the folder link.

PC Web

  1. Click  on the top.
  2. Hover the mouse over a file or folder.
  3. Click .
  4. Select 'Share secured link'.
  5. Click 'Share link' on the bottom.
  6. Select the 'Access authority'. Select 'Accessible only from the initially authorized browser' if you want to allow access only from the initially authorized browser.
  7. Select the 'User Authority'.
  8. For the 'Designate a person who can access the link', enter the email addresses of the members you want to share the link with. Then, click 'Add'.
  9. Click 'OK'.
