My status settings

Status

You can select the status to display on your profile.
When you select a status, the status icon will appear on an organizational chart, your profile, and the member list in a message room.

However, you can only select your status if the administrator has enabled the use of the status display. The status setting is not available for Free plan users.

There are four types of statuses that users can select:

Busy
Set your status as ‘busy’ when you want to focus on your work.
Away
Set your status as ‘Away’ when you are away for a while or when you are unable to respond to messages temporarily.
Offline
Set your status as ‘Offline’ when your working hours have ended.
Absent
Set your status as ‘Absent’ if you are absent for reasons such as vacation, business trip, training, sick leave, or leave of absence.

However, there are two types of statuses that are automatically displayed in My Profile regardless of user settings.

In an event
If an event is scheduled in the user’s LINE WORKS Calendar and is in sync, this icon is displayed automatically during the time of the event.
Pending
This icon is automatically displayed if the member has not yet logged in with the account information received after the administrator has added the member.

Status settings

If you set your status, others can easily check your current status.
Your status information is displayed in the following areas:

  • Profile
  • List of message rooms (only in 1:1 message rooms)
  • On the top of 1:1 message rooms
  • General Message Rooms > lists of members currently exchanging messages, members who have not read the messages, and members to mention
  • List of company members
  • List of VIPs

Mobile

  1. Tap your profile photo on the top right.
    If you are using multiple accounts, tap the initial icon, and then tap ‘My Profile’.
  2. Tap ‘Set status’ in the My Profile screen.
  3. Select a status on the status setting screen.
    When selecting ‘Absent’, you must select the reason for absence.
  4. Tap ‘Save’ on the top right.

PC Web

  1. Click your profile photo on the top right.
  2. Click ‘Status’ from the menu.
  3. Select a status on the status page of the Privacy settings window.
    When selecting ‘Absent’, you must select the reason for absence.
  4. Click ‘Save’.

PC App

  1. Click your profile photo on the bottom left.
  2. Click ‘Status’.
  3. Select a status on the status setting window. When selecting ‘Absent’, you must select the reason for absence.
  4. Click ‘Apply’.

Status message settings

You can also leave a status message when selecting your status.

Mobile

  1. Select a status on the status setting screen.
  2. Enter a status message in the status message entry field.
    You can enter up to 50 characters for the status message.
  3. Tap ‘Save’ on the top right.

When you enter a status message, others can see the status message you have left on your profile.

PC Web

  1. Select a status on the status page of the Privacy settings window.
  2. Enter a status message in the status message entry field.
    You can enter up to 50 characters for the status message.
  3. Click ‘Save’.

PC App

  1. Select a status on the Status window.
  2. Enter a status message in the status message entry field.
    You can enter up to 50 characters for the status message.
  3. Click ‘Apply’.

Advanced settings for absent status

When selecting Absent as your status, you can select the period of absence for the given moment or future in ‘Detailed Options’. When the absence period is selected, your status will be displayed as absent on your profile and organizational chart during the period. Also, the display will automatically disappear after the period. In case you receive an email during your absence, you can save a message as an automatic email reply to the sender.

Mobile

  1. Select ‘Absent’ on the Set status screen.
  2. Select a reason of absence.
  3. If necessary, enter a ‘Status message’.
  4. Turn on ‘Detailed Options’.
  5. Select the period of absence.
  6. Tap ‘Save’.

PC Web

  1. Click your profile photo on the top right.
  2. Click ‘Status’ from the menu.
  3. Select ‘Absent’ on the Status page of the Privacy settings window.
  4. Select a reason of absence.
  5. If necessary, enter a ‘Status message’.
  6. Turn on ‘Detailed Options’.
  7. Select the period of absence.
  8. Click ‘Save’.

PC App

  1. Select ‘Absent’ on the Status window.
  2. Select a reason of absence.
  3. If necessary, enter a ‘Status message’.
  4. Turn on ‘Detailed Options’.
  5. Set the period of absence.
  6. Click ‘Apply’.

Automatic reply during an absence

If you are using the Mail services, you can set to send automatic replies to emails received during your absence.

Mobile

  1. Select ‘Absent’ on the Set status screen.
  2. Select a ‘Reason of absence’.
  3. Turn on ‘Detailed Options’.
  4. Turn on ‘Reply to Company Email’ or ‘Reply to External Email’ under Absence Mail.
  5. Select between ‘Reply to All’ or ‘Reply when I’m one of the recipients (to)’.
  6. Type your message for the automatic reply, and tap’ Save’.
    You can enter up to 300 characters for the automatic reply.

PC Web

  1. Click your profile photo on the top right.
  2. Click ‘Status’ from the menu.
  3. Select ‘Absent’ on the status page of the Privacy settings.
  4. Select a reason of absence.
  5. Turn on ‘Detailed Options’.
  6. Turn on ‘Reply to Company Email’ or ‘Reply to External Email’ under Absence Mail.
  7. Select between ‘Reply to All’ or ‘Reply when I’m one of the recipients (to)’.
  8. Type your message for the automatic reply, and click ’Save’.
    You can enter up to 300 characters for the automatic reply.

PC App

Import previous automatic reply

You can import the contents from the previous automatic reply for absence that you have used before.

  1. Select ‘Absent’ on the Set status screen.
  2. Select a reason of absence.
  3. Turn on ‘Detailed Options’.
  4. Turn on ‘Reply to Company Email’ or ‘Reply to External Email’ under Absence Mail to import the recent automatic reply.

PC Web

  1. Click your profile photo on the top right.
  2. Click ‘Status’ from the menu.
  3. Select ‘Absent’ on the Status page of the Privacy settings window.
  4. Turn on ‘Reply to Company Email’ or ‘Reply to External Email’ under Absence Mail to import the recent automatic reply.

PC App

  1. Select ‘Absent’ on the Status screen.
  2. Select a reason of absence.
  3. Turn on ‘Detailed Options’.
  4. Turn on ‘Reply to Company Email’ or ‘Reply to External Email’ under Absence Mail to import the recent automatic reply.

Remove status

When your current status is set as Busy, Away, Offline, or Absent, you can remove the status anytime.

Mobile

  1. Tap your profile photo on the top right.
    If you are using multiple accounts, tap the initial icon, and then tap ‘My Profile’.
  2. Tap ‘Set status’ in the My Profile screen.
  3. Select ‘Not set’ on the Set status screen.
  4. Tap ‘Save’ on the top right.

PC Web

  1. Click your profile photo on the top right.
  2. Click ‘Status’ from the menu.
  3. Select ‘Not set’ on the Status page of the Privacy Settings window.
  4. Click ‘Save’.

PC App

  1. Click your profile photo on the bottom left.
  2. Click ‘Status’.
  3. Select ‘Not set’ on the Status window.
  4. Click ‘Apply’.

Scheduled absence

You can schedule your absence by selecting the period.

When scheduled as Absent for your future absence, you will see a ‘Reserved’ section on the bottom of the status setting screen.
However, if you schedule an absence while your current status is set as Busy/Away/Offline/Absent, your current status will change to ‘Not set’.

Mobile

  1. Tap your profile photo on the top right.
    If you are using multiple accounts, tap the initial icon, and then tap ‘My Profile’.
  2. Tap ‘Set status’ in the My Profile screen.
  3. On the Set status screen, tap ‘Absent’ and then select a ‘Reason of absence’.
  4. Turn on ‘Detailed Options’, and set the start date and time for ‘Period of absence’ that is later than the present time.
  5. Tap ‘Save’ on the top right.

PC Web

  1. Click your profile photo on the top right.
  2. Click ‘Status’ from the menu.
  3. On the Status page of the Privacy settings, click ‘Absent’ and then select a ‘reason of absence’.
  4. Turn on ‘Detailed Options’, and set the start date and time for ‘Period of absence’ that is later than the present time.
  5. Click ‘Save’.

PC App

  1. Click your profile photo on the bottom left.
  2. Click ‘Status’.
  3. On the Set status window, click ‘Absent’ and then select a ‘reason of absence’.
  4. Turn on ‘Detailed Options’, and set the start date and time for ‘Period of absence’ that is later than the present time.
  5. Click ‘Apply’.

Change scheduled absence

You can change the reason for and period of absence, status message, and settings for automatic reply at Reserved > Detailed Options.

Mobile

  1. Tap your profile photo on the top right.
    If you are using multiple accounts, tap the initial icon, and then tap ‘My Profile’.
  2. Tap ‘Set status’ in the My Profile screen.
  3. On the bottom of the Set status screen, tap the status below ‘Reserved’.
  4. On the ‘Set absence options’ screen, make changes such as reason the for absence, period of absence, status message, and settings for the automatic reply.
  5. Tap ‘Save’ on the top right.

PC Web

  1. Click your profile photo on the top right.
  2. Click ‘Status’ from the menu.
  3. Under ‘Reserved’ on the bottom of the Status page of the Privacy settings, make changes such as reason for absence, period of absence, status message, and settings for the automatic reply.
  4. Click ‘Save’.

PC App

  1. Click your profile photo on the bottom left.
  2. Click ‘Status’.
  3. Under ‘Reserved’ on the bottom of the Status window, make changes such as reason for absence, period of absence, status message, and settings for the automatic reply.
  4. Click ‘Apply’.

Turn off scheduled absence

You can cancel your scheduled absence at Reserved > Detailed Options.

Mobile

  1. Tap your profile photo on the top right.
    If you are using multiple accounts, tap the initial icon, and then tap ‘My Profile’.
  2. Tap ‘Set status’ in the My Profile screen.
  3. On the bottom of the Set status screen, tap the status below ‘Reserved’.
  4. Tap ‘Cancel’ from the Set absence options screen.

PC Web

  1. Click your profile photo on the top right.
  2. Click ‘Status’ from the menu.
  3. Turn off ‘Set absence’ under ‘Reserved’ on the bottom of the Status page of the Privacy settings.
  4. Click ‘Save’.

PC App

  1. Click your profile photo on the bottom left.
  2. Click ‘Status’.
  3. Turn off ‘Set absence’ under ‘Reserved’ on the bottom of the Status window.
