Audit

CONTENTS

The audit provides a log to check members’ usage records.

You can search by setting specific conditions and download the search results.

Logs are only stored up to 180 days.

Admin

It displays the details of all operations performed in the admin management tasks and information such as the performer.

You can search by specifying search conditions and download the results. Select ‘Audit’ from the left to expand the menu and press ‘Admin’ to access the page. On mobile, tap the button to access the menus.

Mobile

  • Event target: The event that happened within a service and is displayed in the name of the service.
  • Status: Displays whether the task was successful or not.
  • Task: Task performed by the user. The types of tasks are as follows.
    • Register
    • View
    • Modify
    • Delete
    • Reinstatement
    • Suspend/cancel account
    • Download
    • Upload
    • Sharing
    •  Withdraw
  • User: The name and email address of the member who performed the task.
  • Date: The date and time the task was performed.

PC Web

  • Service Type: User-agent used to access admin. There are PC web, Mobile App, and API.
  • Service: The menu name of the admin that the task occurred.

Mobile

  1. Tap the search icon from the ‘Admin’ page to expand the search menu and enter search conditions.
  2. Tap ‘Search’ to view the search results.

PC Web

You can search by selecting a period, and press ‘Advanced’ to apply multiple search conditions at once.

  1. Select the ‘Period’ from the ‘Admin’ page. Click ‘Advanced’ to select and apply multiple search conditions.
  2. Click ‘Search’ to view the search results.

Download Admin audit log

Download the audit log you searched.

  1. Use the search in the ‘Admin’ page to display the content to download on the screen.
  2. At the top right, press ‘Download’ to request download.
  3. Press ‘Log download’ on the left menu to access.
  4. Find the log you requested and download the file.

Login

Check the record of attempts to sign in to the service.

For failed logins, you can view the cause of the failure. It helps you to secure company information by identifying incorrect access and suspicious login attempts.

Select ‘Audit’ from the left to expand the menu and press ‘Login’ to access the page. On mobile, tap the button to access the menus.

Mobile

  • User: The name and email address of the member who performed the task.
  • Description: Displays whether the login was successful or not plus the reason for failed login attempts.
  • Date: The date and time of the log in attempt.
  • IP Address: The IP address of the network that tried to sign in to LINE WORKS.

PC Web

  • User: The name and email address of the member who performed the task.
  • Description: Displays whether the login was successful or not plus the reason for failed login attempts.
  • Date: The date and time of the login attempt.
  • IP Address: The IP address of the network that tried to log into LINE WORKS.
  • Service Type: The login attempt by the user-agent; It is categorized into PC web, PC App, Mobile App, Drive explorer, IMAP (Internet Message Access Protocol), POP (Post Office Protocol)3, SMTP (Simple Mail Transfer Protocol), CalDAV, Single Sign On, and Others.

Home

Check the details of posts, edits, and deletes by members in the Home service.

  • Board Name: The name of the board that the post with a task performed belongs. If the board that the post belongs changes, the name of the board before the change is displayed. After the change, the board name can be checked in the detailed log by clicking the ‘Post Title’.

  • Service Type: User-agent that performed the task. It is categorized into Windows Explorer, mac Explorer, Android, iOS, Web, HTML5 Drag&Drop, AIR upload/download, and Others. 
  • Location: The name of the file or folder that is the subject of the task.

Calendar

Check the details of history on Calendar events and previous version’s Task: creating, editing, and deleting calendar events and tasks.

View the participants and audiences of the screen share.

Mobile

  • Shared with: The title of the document or program shared on the screen is displayed.
  • Shared by: The name and email address of the member who started screen share.
  • Participant: The name of the member who participated in screen sharing.
  • Date: The date and time the task was performed.
  • Task: Task performed by the user. The types of tasks are as follows.
    • Screen share

PC Web

  • Shared with: The title of the document or program shared on the screen is displayed.
  • Shared by: The name and email address of the member who started screen share.
  • Participant: The name of the member who participated in screen sharing.
  • Date: The date and time the task was performed.
  • Task: Task performed by the user. The types of tasks are as follows.

  • Service Type: User-agent that performed the task. Screen sharing is only available in the LINE WORKS PC app and therefore displayed as a PC App.

Note

View the history details of members writing and editing posts plus the changes made on boards in Team/Group Notes.

Mail audit (Incoming)

Check the history of emails received by members.

Select ‘Audit’ from the left to expand the menu and press ‘Mail’ to access the page. On mobile, tap the button to access the menus.

Mobile

  • Subject: The subject of the email.
  • Sender: The name and email address of the sender of an email.
  • Receiver: The name and email address of the member who received the email.
  • Date: The date and time the email was received.
  • Reception Results: There are 3 types including Receiving succeeded, Receiving failed, and Block receipt.

PC Web

  • Subject: The subject of the email.
  • Sender: The name and email address of the sender of an email.
  • Receiver: The name and email address of the member who received the email.
  • Date: The date and time the email was received.

  • Sent server IP: The IP of the server that sent the email.

Mail audit (Outgoing)

View the history of emails sent by members.

  1. Select ‘Audit’ from the left to expand the menu and press ‘Mail’ to access the page.
  2. Press ‘Outgoing’ on the top to access the page.

Mobile

  • Subject: The subject of the sent email.
  • Sender: The name and email address of the sender of an email.
  • Receiver: The name and email address of the member who received the email.
  • Date: The date and time the email was sent.
  • Transmission Results
    • Success: Email is successfully sent and delivered to the recipient
    • Blocked:  Failed to send an email for one of the following reasons; sending an email is blocked or the sent email is filtered as spam. (When the recipient added the email address of the sender on the block list or rejected by the receiving server, etc.)
    • Returned: The email bounced and therefore failed to send (if sending to an address that does not exist)
    • Added to Memo: Saves a memo in the memo inbox
    • Reserved: Reserve outgoing email
    • Waiting to be Sent: Currently in waiting by sending Delay delivery
    • Save Template: Save email template
    • Waiting for Approval: Approval requested by the audit policy
    • Approval rejected: The approver rejects the email requested for approval according to the audit policy
    • Audit Blocked: Mail is blocked by audit policy
    • Sending: Sending in progress
    • No Response (For the group email address of the same domain, the result is displayed in each email)

PC Web

Download Outgoing Mail audit log

Download the inquired audit log.

  1. On the ‘Outgoing’ page, use search to view the contents you want to download on the screen.
  2. At the top right, press ‘Download’ to request download.

Deleted mail log

It refers to the logs of permanently deleting emails, such as deleting an email from the Trash.

  1. Select ‘Audit’ from the left to expand the menu and press ‘Mail’ to access the page.
  2. Press ‘Delete’ on the top to access the page.

  • Subject: The subject of the deleted email.
  • Reason for deletion
    • Delete directly: Case of the users permanently deleting an email themselves

  • Capacity: The size of the file to download.
